If you’ve ever been told “go get us a quote for machined parts” and you’re not a machinist, this checklist is for you. I manage purchasing for a 40-person manufacturing company. I do the boring stuff: POs, vendor spreadsheets, and making sure the invoice matches the quote. Since I took over buying in 2020, I’ve processed somewhere around 60–80 orders per year. I’m not an engineer, but I’ve learned enough to know what to ask before anyone signs anything.
This is not the standard “always get three quotes” advice. I tried that. It works for commodity parts, but for CNC work? Honestly, not that much. Before you contact anyone, sit with your operations person or engineer and get three things: what the part is for, what tolerances matter, and how many pieces you need. Prototype and production are different worlds. A shop that excels at production may not want your 3-part prototype, and that’s fine. It saves you both time if you know what you’re actually buying.
Step 2: Ask which control system the machines use
Here’s the thing about CNC: the brand on the control panel matters a lot to programmers, and hardly at all to the part itself. A well-maintained CNC machine with a Fanuc control can cut metal all day. A machine with any other control can also cut metal all day—if the shop knows what they’re doing. So don’t ask as a gotcha; ask because it tells you about support and training.
You’ll see a lot of CNC machine Fanuc controls in the market. Fanuc is common. You’ll also see Haas controls on a Haas Mini Mill, plus Siemens, Mitsubishi, Heidenhain, and others. None of that is a red flag. Red flags are when the vendor can’t explain what they run or why it matters for your part.
If you plan to do any programming or maintenance in-house, ask for documentation. A good shop can send you a Fanuc CNC programming PDF or a manual excerpt without making a fuss. If they can’t, they probably don’t have their processes documented, and that will bite you later.
Step 3: Know the difference between machines

A Haas Mini Mill is a nice compact machine for smaller parts, but it won’t handle a huge plate. Ask for maximum travel and part size limits before you assume it’s the right fit. If the shop says they use a CNC machine with Fanuc controls, that’s a sign their operators likely have broad training: Fanuc is so common that knowledge transfers easily. Again, it’s not the whole story. But it helps.
Step 4: Require a documentation trail
This is where I sound like the annoying buyer, but I’ve earned it. In 2024, I found a vendor with a fantastic price. The part looked fine. But they couldn’t provide a proper invoice—handwritten receipt only. Finance rejected the expense. I had to eat $2,400 out of the department budget. Period.
For CNC work, documentation means more than an invoice. It means material certifications, inspection reports, and program files if you need them. If they say “we keep it in the machine” or “we don’t need paper,” that’s not a good answer for a B2B buyer. Ask to see their router or work order template. Ask each vendor how they handle freight and lead time. A shop that’s great at CNC milling in Oregon might still not fit your timeline.
Step 6: Don’t let welding become an afterthought
If your project involves joining parts, you may need to ask the tough questions about electron beam welding vs laser beam welding. They sound similar if you’re not a welding engineer. They are not.
Electron beam welding uses a vacuum chamber, which makes it precise and great for deep, narrow welds—but setup is slower and more expensive. Laser welding is faster and doesn’t require a vacuum, which makes it easier to put on a production line, but the weld pool and heat affected zone are different. The right answer depends on material type, thickness, and whether the weld has to meet a strict quality standard.
I won’t pretend to be a welding expert. The point is to ask the shop: “Which process do you recommend for this part, and why?” If they wave it off with “it’s just welding,” be careful. A real shop will be happy to explain why they chose one process over the other.
Step 7: Verify support, training, and payment terms before you approve
This is the most overlooked step, especially when buying equipment or long-term service. If you’re investing in a Fanuc CNC system, ask what training options look like. Can your employees take a class? Is there an online simulator or a Fanuc CNC programming PDF available for your programmers? You’re not just buying a machine; you’re buying the team’s ability to run it.
